Why Does My Printer Say Offline?

“Offline” is the computer’s opinion, not a sensor reading.

Print the printer’s own network or status report from its panel. If the report shows a valid connection and IP address, the printer is reachable and the computer’s record of it is stale. If the report shows no network, the problem is on the printer side.

Router first, then printer, then computer clears most stale states.

Power the router off and on, wait for it to finish booting, restart the printer so it rejoins the network cleanly, then restart the computer. Restarting only the computer leaves the printer holding the same broken session.

A printer that moved to a new IP looks dead to a port configured for the old one.

Compare the IP on the printer’s report with the address the computer’s printer port uses. Many offline loops are just address drift after a router reboot; a DHCP reservation for the printer in the router prevents the drift permanently.

Windows and macOS both keep a queue that can silently pause.

Open the print queue, resume it, and clear stuck jobs. On Windows, remove “Use Printer Offline” and duplicate printer entries; on a Mac, remove the printer and add it again so the system rebuilds the connection.

Remove and re-add the printer only after the network path is proven.

When the printer’s report shows a healthy connection and the computer still reports offline, remove the printer, install the current manufacturer software or use the built-in driver, and add it back by its current address or discovered name.
